Online Invoicing/Order Entry
Designed for the busy sales office, this module is both easy to use and offers maximum flexibility.
Direct invoices this feature allows you to process customer orders quickly and accurately. MDS will check customer account details, available credit and delivery / freight details, MDS will then accept lines onto the invoice, calculating the prices from the MDS item / customer pricing modules.
A customers order, once entered, can be:
Printed as a Quote
Printed as slip for picking in either item, bin location or category order
Printed and processed as an invoice
Held (or parked) for processing later
Held in suspense until account is within trading terms.
Where items are in short supply, MDS can display alternative items, or optionally create a back order for the customer. Where goods are sold as a collection of items, MDS can facilitate the assembly of the raw materials on the fly; printing either just the total, or listing each component.
Order Entry Module
You can process with this method where items are not usually available immediately from stock, where they are to be picked to confirm availability, purchased locally / imported or manufactured.
Orders can be accepted as one shipment for immediate delivery, or for several shipments with a range of drop down dates. Where items need to be purchased to satisfy the customer order, MDS has the option to automatically create the purchase orders and fax them out.
Lost sales in either of the processes listed above, MDS can store any lost sale details for pricing or alternative stocking mix analysis.
Standing orders You may store customer, item, delivery, and freight and pricing details for the automatic production of standing orders.
Unit recognition MDS has a built in Unit Recognition table to accommodate special sales where conversions or calculations need to be performed, such as for timber yards (lineal metre stick measurement entry), glass merchants (square metre dimension entry), tile distributors (sell in square metres but ship by the box) and many others.
Sales Tax In all of the cases mentioned, MDS will control the sales tax component correctly, even for special circumstances, where an agreed nett sales tax arrangement applies.
Customer Specific Formats MDS is one of the only systems available where each customer can have a customised invoice, slip, back order etc format established.
This is especially useful when you need to deal with large organisation who will only accept paper work in their specific format, and where the details to one customer may be different to another (such as a subagent where you need to list price, discount and the RRP for their stocking details).
